As a Veterinary Hospital Administrator, you will play a crucial role in overseeing the day-to-day operations of the veterinary hospital, ensuring efficient and effective management to provide high-quality care to animals. Your responsibilities will encompass administrative and financial aspects to maintain a well-organized and thriving veterinary practice. You will also support Human Resources with the Human Talent Director and Marketing Coordinator.
The Veterinary Hospital Administrator will be under the direct supervision of the Partners.
Responsibilities:
Administrative Management:
Coordinate and manage daily operations, including scheduling, client appointments, and patient admissions.
Oversee medical records management, ensuring accuracy and compliance with relevant regulations.
Implement and maintain efficient office procedures and protocols.
Develop and maintain business professional networks that would encourage practice growth via staff development and hospital revenue
Be able to oversee multiple hospital locations
Become familiar with all functions of the practice management software (Ezyvet), including but not limited to doctor production calculations, fee structure, and reporting
Financial Management:
Develop and manage the hospital budget in collaboration with the managing partner(s).
Monitor financial performance, analyze variances, and implement corrective actions as needed.
Handle company billing, invoicing, and financial transactions in compliance with industry standards.
Ensure that all A/R is properly maintained and processed by the billing department team members
Maintain complete confidentiality of all financial information
Ensure all credit card and/or expense receipts are appropriately given to the bookkeeping division promptly.
Liaise with the professional accounting and bookkeeping staff to ensure a timely and accurate flow of information.
Human Resources:
Work with the Human Talent Director and Marketing Coordinator(s) to grow, empower, and engage the entire team.
Aid in the process of performance evaluations and provide feedback to ensure a high level of performance.
Maintain complete confidentiality of all personnel matters and information
Participate in regular meetings with the associate doctors in conjunction with the practice owners and the Human Talent Director and Marketing Coordinator(s) to review career development and production
Coordinate with the various department leaders to ensure appropriate content and organization of staff meetings and staff development functions
Client Relations:
Ensure all clients receive exceptional customer service and all team members are providing the highest level of customer service.
Address client inquiries, concerns, and complaints promptly and professionally.
Work to enhance the client experience, ensuring a positive and compassionate atmosphere.
Implement and maintain effective communication strategies with clients and staff.
Help develop protocols/processes that ensure client concerns/issues are not repeated
Regulatory Compliance:
Stay current on veterinary regulations and standards to ensure the hospital's compliance.
Work with regulatory agencies to obtain and maintain necessary licenses and certifications.
Emergency Preparedness:
Develop and implement emergency response plans to ensure the safety of patients, clients, and staff.
Coordinate with veterinary professionals to handle emergencies and crises effectively.

Qualification:
Bachelor’s degree in Business Administration, Healthcare Administration, or a related field
Previous experience in veterinary hospital management, healthcare administration, or business administrative work is highly desirable
Strong organizational, leadership, and interpersonal skills
Excellent communication skills, both verbal and written
Knowledge of veterinary practice, procedure, and terminology
Independent thinker and self-starter
